Who we are

UseMeritFit is an independent, founder-run tool that helps students decide which university programs and scholarships are worth applying to, and draft strong applications. This policy explains what we collect, why, and the control you have over it. Questions? Contact us.

What we collect

Account details. You sign in with Google. We receive your name and email address from Google to create and identify your account. We never see your Google password.

Profile information. The details you enter about yourself — education, achievements, test scores, and the personal anecdotes you save for drafting.

Documents you upload. Files such as your resume or official test-score reports, which we store so we can extract and reuse the details when matching and drafting. When you upload one, its text — which may include your date of birth, nationality, candidate or registration numbers, and your results — is sent to OpenAI so the details can be pulled out; see “Third-party services” below. If you’d rather not have a document processed that way, enter the details by hand instead: every field can be typed in directly.

Your activity in the product. Programs and scholarships you save, matches you run, drafts you generate, and feedback you submit.

Usage analytics. If you accept analytics in the consent banner, we record which pages and features you use. This is on only with your consent — see “Cookies and analytics” below.

How we use your data

To run the product: authenticate you, store your profile and documents, extract the published criteria from the scholarship and university-program pages you import, read the details out of documents you upload, match all of it against your profile, and help you draft applications. We use aggregate, consented usage data to understand what’s working and improve the product. We do not sell your data or use it for advertising.

Where your data is stored and how it’s protected

Your account and profile data live in a managed PostgreSQL database (Neon). Uploaded documents are held in private object storage (AWS S3) and are never publicly readable — access always goes through an authorization check on our side. Data is encrypted in transit.

Third-party services

We rely on a small set of providers to operate:

Google for sign-in. OpenAI to process text — this is the one place your information leaves our own infrastructure, so to be specific, we send OpenAI: the text of scholarship and program pages you import; the text of documents you upload (your resume and any test-score report, including the personal details printed on them); and, when you ask for a draft, your profile, your saved anecdotes, and the question being answered. It’s sent for those purposes only. AWS for document storage, Neon for the database, and Vercel and Railway for hosting. PostHog for product analytics, only if you consent.

Cookies and analytics

We use a strictly necessary cookie to keep you signed in. For analytics we use PostHog, which stays off by default — nothing is sent until you choose “Accept” in the consent banner. Decline and no analytics events are ever collected; your choice is remembered on your device. We also honor your browser’s Do Not Track setting.

Your rights

You can view and edit your profile at any time, and you can request deletion of your account and associated data by contacting us. Where the law gives you rights to access, correct, or delete your personal data, we’ll honor them.

Data retention

We keep your data for as long as your account is active. If you ask us to delete your account, we remove your profile, documents, and associated records.

Children’s privacy

UseMeritFit is intended for users aged 16 and older. We don’t knowingly collect data from children under that age; if you believe a child has provided us data, contact us and we’ll remove it.

Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected here with a new “last updated” date.
